Participation agreement and rules between Urania Genève Sport (UGS) and the candidates for the project Urban Art Velodrome 2020
The following participation agreement and rules define the collaboration between Urania Genève Sport (UGS) (hereinafter: the organiser) and the artist (hereinafter: the participant) on the basis of its selection for the project Urban Art Velodrome 2020 (hereinafter: the project).
The participant confirms his understanding of the participation agreement and rules by accepting the terms and conditions.
The organiser wishes to highlight the underlying values of the agreement of participation and rules such as the conservation of the architectural heritage of Geneva and artistic innovation based on the voluntary contribution of the participants and organising committee.
- General framework
Context:
More than 60 artists are invited in Geneva during summer 2020 to transform an abandoned velodrome into a monumental collective artwork. With this project the historic bike path will come to life again through art.
By engaging in a sustainable urban street art project, the organiser seeks to combine art and sports, to create a relation between the two environments and give exceptional visibility to its partners. The artworks will remain permanently on display and will be viewed by thousands of people. The promotion of the project by the media and institutional sponsors of UGS will bring attention to the artists and their work.
Urban Art Velodrome 2020 has a unique, lasting and monumental character, it brings together internationally recognized artists in a key location hence is a beautiful opportunity to perpetuate Geneva's heritage.
Theme:
The common theme for all participants is the “Encounter”. The theme can be explored from different perspectives: love, friendship, social, generational, cultural, sports, etc.
Site:
- Frontenex Stadium, Plateau de Frontenex 8, 1223 Cologny
- 350m circumference, 2250 m2
- 71 parcels of 23 m2 each to about 60 artists
- Ultraviolet painted background
- Continuous external and internal outline of 0.75 m wide painted in ultraviolet
- Logo of the club painted with a stencil: 5 m high - gold color, 2.5m
Workspace:
- 5 x 4.5 m or 22.5 m2*
- Medium: bitumen
- The surface is cleaned, prepared and painted in purple in advance
- Parcels will be assigned once the selection of artists is validated.
- You will be able to choose 1, 2 or 3 contiguous parcels, i. e. for a maximum of 15 x 4.5 m.
* We reserve the right to make the final decision on whether or not to grant several parcel.
Paint and equipment:
All paint, brushes, rollers, varnishes, mediums, plastic tarps, protective clothing, scaffolding, etc are provided by the organiser. Compressors are at disposal.
The participant fills in an order form to get his material.
Technics: All technics are accepted as long as adapted to the project.

Timeline:
- 09 September 2019: Call for artists (video on the website and social media);
- 31 October 2019: Applications deadline;
- 30 November 18 2019: Final selection announcement, validation of participation. Press release;
- 31 December 2019: Final model of the stadium including all artworks to be shared with the City of Geneva for final validation of the project;
- Undetermined date: Upon approval from the City of Geneva, send out of a complete press kit including final artworks. Press conference;
- From 15 to 27 June 2020: Stadium cleaning and preparation. Ultraviolet primer layer painting;
- From 29 June to 16 August 2020: All participants will have a maximum of 2 weeks to create his artwork;
- September 2020: Opening day and evening of opening.
- Participation
Applications:
- Application must be submitted online on urbanartvelodrome.com
- The participant submits a mock-up illustrating his project with pictures of his work.
- The participant receives a confirmation email once he submitted his project.
Selection process:
A jury proceeds to the final selection of artists (already including those who support and participate in the project).
The final selection is made by the artists’ selection jury composed of the Cultural and Scientific Commission and the partners of the project according to the following process:
- All mock-ups are submitted to the jury;
- The jury selects the projects corresponding the most to the theme and with a strong aesthetic feel;
- The Cultural and Scientific Commission presents an overall model including all selected projects side by side to the City of Geneva;
- The organiser informs all applicants of the selection individually by email during the first half of 2020;
- The participant confirms his participation by return email within 5 days of reception. Consequently, the participant agrees to these participation agreement and rules;
- The organiser announces publicly the selection.
Code of conduct:
- The participant must deter from indulging in any and all forms of misconduct including and activity, even after creation hours, which can affect the organiser’s and partners’ image and reputation;
- The participant is required to promote the project by its own means. He cannot post derogatory comments on the organiser and/or his partners, and/or on the project. This is a motive for exclusion;
- Theft, abuse, or damage of available resources, facilities, other participants properties will lead to immediate exclusion;
- Indulging in any form of harassment related to an individual’s gender, race, religion or beliefs, colour, region, language, disability, or sexual orientation, marital or family status, physical or mental disability, gender identity, etc. will lead to exclusion.
Exclusion and drop-outs:
The organiser reserves the right to immediately exclude a participant in the event of non-compliance with the above code of conduct or any other behaviour that may be prejudicial to him/her.
For participants required to travel to participate in the project and for whom the organiser organises the trip and accommodation, any exclusion will result in the reimbursement of travel and accommodation expenses. In this event, the participant will be asked to leave his accommodation and will be excluded from the organiser's future projects until advised otherwise.
If the participant is forced to interrupt his participation for a legitimate reason, he may terminate it after informing the organiser. Consequently, and if relevant, he will be asked to leave the accommodation.
- Operational and financial aspects
Local transportation:
As far as possible, the participant receives a TPG day pass to travel in Geneva during the production of his work at the Frontenex Stadium.
Meal expenses:
Breakfast, lunch and dinner are not organised by the organiser. Only snacks and drinks are provided during the production of his work at the Frontenex Stadium. As far as possible, meals are reimbursed on a flat-rate basis.
Accommodation:
As far as possible, the organiser provides shared accommodation for participants who do not leave in or around the canton of Geneva. In this case, participants will be placed in separate double or single rooms, male and female.
Travel:
As far as possible, the organiser will cover the travel expenses for participants who do not leave in the canton of Geneva or the surrounding area.
Painting and material:
Paint and material (brushes, rollers, varnishes, mediums, tarpaulins, protective clothing, scaffolding, etc.) are provided to participants by the organiser. Compressors are also available. Access to the paint is made thanks to an order form.
The organiser is not responsible for any cost that may occur outside of the above-mentioned costs.
- Physical ownership of the work
The pieces created as part of the project Urban Art Velodrome are the property of the City of Geneva.
Apart from sporting events, the organiser exhibits the works selected for the project free of charge from September 2020 until the demolition of the stadium.
- Intellectual property
Selected participant agrees, by individually signing the document entitled "Contract release rights", to irrevocably assign to the organiser all intellectual property rights relating to any study, design, drawing and elements created in connection with the project Urban Art Velodrome project.
Notably therefore assigned the rights of reproduction in any size, format, material, etc. the right of representation under whatever support, the right of exploitation or any purpose and the right of exploitation for whatever use.
- Communication
All official communications regarding the project are developed by the organiser in collaboration with partners and integrated into an overall communication plan.
The organiser shares press kits with partners and participants according to his timeline.
Partners and participants are invited to communicate on their participation in the project on their communication channels and social media.
Detailed guidelines and hashtag strategies to be included will be communicated at a later date.
The organiser will create audio-visual content of participants at work at the Frontenex Stadium. This content will be shared with partners and participants who will be able to use this content by mentioning the credits specific to the project.
The participant agrees to provide the organiser with all requested communication material (photos and others) and to document the development of his/her creation for the project using personal photos and/or films taken with his/her own device (a smartphone is sufficient). He undertakes to provide the name of the photographer for the organiser to credit this material. The participant confirms upon sending the above-mentioned material that:
- the rights in these photographs are fully cleared, ie: the organiser and partners may, without any limit in time or territory, reproduce, represent and adapt and more generally gratuitously use these photographs on its social networks, websites, publications, newsletters and press kits (to the exclusion of paid advertising) within the context of its activities;
- he consents to the use of his works, image and name in the same terms through the use of these photographs by the organiser and partners and that all personality rights of those represented have been duly cleared.
- Image rights
Selected participant agrees, by individually signing the document entitled "Release for image rights", to the below:
Whereas UGS (hereinafter: the organiser) is organising the project Urban Art Velodrome 2020 (hereinafter: the project) and that either before, during and after this project, he may take videos or photographed for promotional and communication purposes to be used both on and off-line.
Whereas the participant have agreed to be photographed and or video recorded by the organiser in circumstances in connection with the project or his activities.
Now therefore, the participant:
- declares that he irrevocably authorise the organiser and his partners to use and reproduce your likeness as represented in the photographs and film materials taken before, during or after the programme (hereinafter referred to as the Materials) for all promotional use in relation with UGS and/or the project. This authorisation includes, but is not limited to, the right for the organiser and its partners, as well as the press to reproduce, communicate, represent and more generally to use the Materials, worldwide, for an unlimited period of time in all forms and in all media, both on- and offline, including social media websites such as Facebook, Instagram, and YouTube, mobile devices and in all manners by any method or application now known or hereafter devised.
- further agrees that the organiser and partners cannot and will not be held liable for any use or reproduction, communication and/ or distribution of recorded material taken by the press or other third parties as well as the use by third parties of the photographs and film materials diffused as above.
- Insurance
The organiser is exempt from any and all liabilities for whatsoever reason in connection with said accidents that may occur during the execution of the project at the Frontenex Stadium. Any and all possible claims against the organiser are therefore irrevocably waived.
The participant confirms that he has all the necessary insurance to cover his participation in the project.
- Data protection
The participants’ data are collected and threated according to the organiser’s privacy policy and will be shared with partners for operational purposes only.
- Cancellation of the project
Cancellation of the project by the organiser can happen at any time and upon 10 days advance notice.
- Governing law and jurisdiction
This participation agreement and rules will be governed by the laws of Switzerland. Any dispute arises out of this participation agreement and rules, will be submitted to the exclusive jurisdiction of the courts of Geneva, Switzerland.
